About the Reception & Client Services Associate role:
We are seeking an organised, welcoming, and proactive Reception & Client Services Associate to be the first point of contact at our Peterborough Office. This is a pivotal role, ideal for someone who thrives in a client‑facing environment and enjoys delivering outstanding service from the moment a visitor arrives.
This vacancy is a full-time (37.5 hour per week) permanent role, which is office-based Monday – Friday 09:00 – 17:30, with 1-hour lunch each day.
You will ensure all visitors are professionally greeted, comfortably seated in meeting rooms and promptly inform the relevant team member of their arrival.
Key Responsibilities:
Reception & Client Care
Greet and welcome all visitors and clients in a friendly, professional manner, ensuring they are promptly assisted and appropriately directed.
Provide refreshments to clients during meetings, helping create a warm and comfortable experience.
Ensure the reception area is always tidy, presentable, and opened/locked securely as required.
Process client payments, issue receipts, and maintain accurate financial records.
Client Engagement & Administration
Serve as the first point of contact for both new and returning clients, handling enquiries and supporting the initial engagement process.
Build and maintain strong relationships with repeat clients, delivering consistent and attentive service.
Prepare the daily appointments schedule and manage internal document delivery, scanning, and copying as needed.
Handle website enquiries, ensuring new matters are routed to the correct teams and processed within KPIs.
Ensure all new enquiries are logged, tracked, and progressed correctly by relevant teams.
Client Services & Compliance
Conduct initial consultations, complete conflict checks, and gather accurate information before arranging meetings.
Guide clients through the onboarding process, collecting Know Your Client documentation, legal forms, and completing questionnaires.
Complete file opening procedures for designated departments, ensuring data accuracy and completeness.
Review client documentation for regulatory compliance and Anti Money Laundering requirements.
Work closely with the Compliance team to ensure adherence to firm-wide policies and regulatory obligations.
Data Management & Process Improvement
Accurately capture and enter client data into the firm’s software systems.
Stay informed about client service processes and actively propose improvements to enhance efficiency and overall service delivery.
Who is our ideal candidate?
Proven experience of delivering a high standard of customer service.
Excellent communication, interpersonal, and organisational skills.
Ability to multitask and manage multiple projects simultaneously.
Experience with CRM and project management tools.
Strong IT skills (Microsoft Office Suite)
